Our client is an architecture, design consultancy and project management firm providing design, project coordination and construction management services. The company works with clients, consultants, contractors and specialist vendors to deliver projects in line with agreed timelines, budgets, quality standards and contractual requirements.
JOB SUMMARY
Responsible for the overall planning, coordination, monitoring and successful delivery of projects undertaken by the company. Acts as the central point of communication between clients, consultants, contractors, suppliers, statutory authorities and internal team members, ensuring that projects are delivered in accordance with programme, budget, quality standards and contractual obligations.
Manages multiple concurrent projects while maintaining strong relationships with all stakeholders.
ESSENTIAL JOB FUNCTIONS
Client & Stakeholder Management
• Serves as the primary day-to-day representative of the company on assigned projects.
• Engages clients to understand project objectives, priorities, budgets and programme requirements.
• Advises clients on project strategy, procurement options, commercial implications and project risks.
• Manages client expectations and maintains strong relationships with clients, consultants, contractors and suppliers.
• Coordinates communication among project stakeholders and escalates critical issues requiring management intervention.
• Represents the company professionally at meetings and project engagements.
Project Planning & Establishment
• Reviews project briefs and establishes appropriate project execution strategies.
• Defines project scope, deliverables, key milestones, resource requirements and reporting structures.
• Develops project management plans, programmes, communication protocols and approval workflows.
• Establishes project-specific trackers, registers and reporting systems.
• Develops project risk registers and appropriate mitigation measures.
• Coordinates project kick-off meetings and mobilisation activities.
Design Coordination & Information Management
• Coordinates design teams and specialist consultants throughout project delivery.
• Reviews drawings and design documentation for completeness, coordination and buildability.
• Identifies gaps, inconsistencies and conflicts within project information.
• Manages Requests for Information and tracks consultant responses through to closure.
• Coordinates drawing reviews, technical workshops and design-related actions.
• Monitors drawing production schedules and ensures that design information is properly reviewed, approved and issued.
Meeting Leadership & Coordination
• Schedules, organises and chairs project meetings involving clients, consultants, contractors and vendors.
• Prepares meeting agendas and supporting documentation.
• Records and issues meeting minutes, decisions, responsibilities and action items.
• Maintains action trackers and follows up to ensure the timely completion of agreed actions.
• Facilitates the resolution of project coordination issues and outstanding matters.
Contractor & Construction Management
• Monitors contractor performance against agreed programmes and contractual obligations.
• Tracks construction progress, milestones, critical activities and areas of delay.
• Coordinates consultant inspections, site reviews and technical assessments.
• Reviews contractor submissions, including shop drawings, material submissions, samples, method statements and inspection requests.
• Monitors compliance with approved drawings, specifications and quality requirements.
• Reviews recovery plans and supports the resolution of technical and site coordination issues.
Procurement & Vendor Management
• Develops procurement strategies and schedules in line with project requirements.
• Prepares Requests for Proposals, Invitations to Tender and other bid documentation.
• Coordinates vendor and consultant prequalification and tender clarification processes.
• Reviews and compares technical and commercial submissions.
• Participates in vendor interviews and evaluations and prepares recommendation reports.
• Coordinates the appointment and onboarding of consultants, contractors and specialist vendors.
Commercial & Contract Administration
• Reviews contracts and advises clients on contractual obligations, commercial implications and risks.
• Supports contract negotiations and consultant or contractor appointments.
• Monitors compliance with contractual requirements and manages change control procedures.
• Maintains variation registers, commercial trackers and other relevant records.
• Reviews payment applications and monitors project budgets and expenditure.
• Supports the assessment of claims, extension-of-time requests and dispute resolution processes.
Programme Management
• Develops and maintains project programmes and milestone schedules.
• Reviews contractor programmes and construction schedules.
• Monitors critical path activities and identifies programme slippage or potential delays.
• Recommends corrective actions and recovery measures.
• Tracks key project milestones and prepares programme status reports.
• Coordinates procurement, design and construction activities against the overall project programme.
Reporting & Project Controls
• Maintains accurate and comprehensive project records and documentation.
• Prepares weekly and monthly project reports, executive summaries and presentations.
• Maintains relevant project registers, trackers, logs and decision records.
• Monitors project performance indicators and stakeholder deliverables.
• Develops project dashboards and status updates for clients and management.
Risk Management
• Proactively identifies project risks, constraints and potential delivery challenges.
• Assesses the impact of identified risks on cost, programme, quality and project objectives.
• Develops and implements appropriate mitigation measures.
• Maintains and regularly updates project risk registers.
• Monitors mitigation actions and escalates significant risks to senior management.
Team Leadership & Internal Management
• Coordinates internal project teams and resources.
• Delegates responsibilities and monitors the completion of assigned tasks.
• Establishes accountability and conducts regular project reviews.
• Mentors and supports junior project managers and coordinators.
• Monitors team performance and promotes a collaborative and solutions-driven working environment.
• Supports continuous improvement across project delivery processes.
Business Development & Company Support
• Supports the preparation of proposals, bid submissions, presentations and project credentials.
• Contributes to marketing and business development initiatives.
• Assists in maintaining the company’s project portfolio and case studies.
• Supports company process improvement and strategic planning activities.
• Assists with the company’s social media platforms and public-facing project communications, where required.
• Performs other related duties as assigned.
EDUCATION
QUALIFICATIONS:
· Bachelor’s degree in Architecture, Engineering, Construction Management, Quantity Surveying, Project Management or another relevant discipline.
· Postgraduate qualification, further training or certification in Project Management is preferred.
· Relevant professional membership or certification is an added advantage.
WORK EXPERIENCE:
· 5 – 10 years of relevant project management experience within architecture, construction, design consultancy, real estate development or a related environment.
· Demonstrated experience managing projects through planning, design, procurement, construction and completion.
· Experience coordinating clients, consultants, contractors and multidisciplinary project teams across multiple projects.
KNOWLEDGE REQUIREMENTS
· Strong understanding of project management, architectural design coordination and construction delivery processes.
· Knowledge of procurement, tendering, contract administration, programme management, project reporting and risk management.
· Ability to interpret architectural drawings, specifications, programmes, and technical submissions.
· Proficiency in Microsoft Word, Excel, PowerPoint and Microsoft Project.
· Working knowledge of AutoCAD or Revit.
· Strong ability to prepare project reports, presentations, trackers, meeting minutes and other project documentation.
