Job Description
We are looking for a versatile HR & Administrative Officer to manage our people operations and streamline our office environment. This dual-focused role is ideal for someone who can balance end-to-end employee lifecycle with efficient day-to-day office management. You will be a key partner in talent acquisition, employee relations, and regulatory compliance, while simultaneously overseeing facility operations, procurement of office supplies, and general administrative support to ensure our team has everything they need to perform at their best.
Key Responsibilities
HR Operations & Talent Management
• End-to-End Recruitment: Draft job descriptions, source talent, conduct screenings, schedule interviews, issue standard employment contracts, and execute onboarding and offboarding procedures.
• Employee Benefits Administration: Manage employee benefits programs—including Pension (PFA), Health Insurance (HMO),and staff welfare schemes—and serve as the main point of contact for employee coverage inquiries.
• Employee Records & Data Privacy: Maintain complete, confidential, and audit-ready employee records in compliance with national data privacy regulations and Nigerian labor standards.
• Employee Relations: Facilitate grievance resolution, conflict mediation, performance improvement plans (PIPs), and workplace culture initiatives.
• Performance Management: Drive performance management processes, including goal setting, probation appraisals, and annual performance reviews.
• Payroll & Nigeria Statutory Compliance
• Payroll Processing: Oversee monthly payroll processing, verifying attendance, leave, overtime, and statutory withholdings.
• Statutory Deductions & Remittances: Compute, remit, and file monthly statutory deductions within mandatory
Regulatory deadlines:
• PAYE Tax: Remit to state internal revenue services (e.g., LIRS, FCT-IRS) by the 10th of each month.
• Pension (PRA 2014): Deduct and remit total employer/employee contributions to Pension Fund Administrators (PFAs) within 7 working days of salary payment.
• NSITF (Employees’ Compensation Act): Ensure 1% employer contribution to the Nigeria Social Insurance
• Trust Fund for workplace injury coverage.
• Annual Tax Returns & Audits: Prepare and submit annual statutory tax returns (Form H1) and assist with state tax audits and PENCOM compliance checks.
• Labour Act Entitlements: Enforce Nigerian Labour Act provisions regarding statutory leave entitlements (annual leave, sick leave, and maternity/paternity allowances).
Facility & Administrative Management
• Facility Operations: Supervise day-to-day facility management, including routine maintenance, office repairs, utility services, and vendor coordination.
• Procurement & Asset Management: Oversee office procurement, vendor contracting, asset management, and inventory audits for office supplies and equipment.
• External Liaison: Act as the primary point of contact for external inquiries, regulatory agency inspectors, corporate service providers, landlord/facility management, and staff requests.
Requirements
• 2–4 years’ experience in Human Resources.Solid understanding of Nigerian Labor Laws and statutory compliance (Tax and Pension regulations).
• Proven experience in recruitment, employee onboarding, and payroll administration.
• Demonstrated ability to manage office facilities, vendors, and inventory effectively.
• Excellent interpersonal and communication skills, with a high degree of confidentiality.
• Strong organizational skills and attention to detail, particularly in record-keeping.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and office management systems.
• Ability to multitask and prioritize effectively in a fast-paced environment.
