Job summary

The HR Administrator provides administrative and operational support to the Human Resources function. The role is responsible for maintaining employee records, coordinating HR processes, ensuring HR documentation and processes comply with organizational policies and legal requirements, and coordinating recruitment activities.

Job descriptions & requirements

Responsibilities:

HR Administration:

• Maintain accurate and up-to-date employee records and HR databases.

• Manage employee documentation including contracts, onboarding documents, and policy acknowledgements.

• Prepare HR-related documents such as employment letters, confirmation letters, and internal memos.

• Maintain confidential personnel files and ensure compliance with data protection standards.

• Support HR reporting by compiling HR metrics and employee data when required.

Recruitment:

• Coordinate recruitment activities including posting job advertisements and scheduling interviews.

• Screen applications and support shortlisting of candidates where required.

• communication to candidates and schedule interviews.

• Prepare offer letters and onboarding documentation for new hires.

Onboarding & Employee Lifecycle Management:

• Facilitate onboarding processes for new employees, including orientation coordination.

• Ensure all onboarding documentation is completed and properly filed.

• Track employee probation periods and notify managers when reviews are due.

• Support offboarding processes including exit documentation and clearance procedures.

HR Operations & Compliance:

• Ensure HR policies and procedures are properly communicated and implemented.

• Monitor employee attendance, leave records, and HR administrative systems.

• Assist in ensuring compliance with labour regulations and company policies.

• Support HR audits and documentation reviews.

Employee Engagement & Support:

• Assist in coordinating employee engagement activities and internal events.

• Support communication of HR initiatives and internal announcements.

• Serve as a point of contact for basic HR inquiries from employees.

Requirements:

• Minimum qualification of a BSC

• 3 years of previous experience in a similar role

• Certifications (Optional but Advantageous)

• CIPM or other HR Related Certification

Key Performance Indicators (KPIs):

• Accuracy of employee records and HR documentation

• Timely completion of HR administrative processes

• Efficiency of recruitment coordination and onboarding support

• Compliance with HR policies and documentation standards

• Employee satisfaction with HR administrative support
